Privacy policy

Footings exists to keep a construction company's job costing and books straight. The data you put in it is yours. This page says plainly what we collect, where it lives, and who can see it.
What we collect
- Account details — your email address and the name you sign up with.
- Your company's records — the jobs, estimates, invoices, bills, expenses, payments, schedules and books your team enters, and the receipts and documents you photograph or upload.
- Almost nothing else. There is no advertising, no analytics tracker, and no selling or sharing of your data with third parties for their own use. We don't use cookies beyond what keeping you signed in requires.
Where it lives
All application data is stored in Canada (our database and file storage run in a Canadian data-centre region), encrypted in transit and at rest.
Card details never touch Footings. Subscription payments are taken by Stripe, a PCI-certified payment processor, on Stripe's own pages. Your card number is entered there and stored there. Footings has never held a card number and is not built to — what we keep is the plan you chose, whether it is paid up, and the renewal date. Stripe holds your billing name, address and card as a processor for us, under its own privacy commitments, and issues your receipts.
Payments your own customers make to you are a separate matter: Footings records the payments you enter so your books and job costing are right. It does not collect that money and is not connected to your bank.
Who can see it
- Your team, by role. Access inside your company is enforced by database-level rules: field crew see their own jobs and uploads; project managers see the jobs they're on; only owner, admin and accounting roles see the company's books. Another company can never see your data.
- Us, narrowly. The people operating Footings can access production systems for maintenance and support. We look at customer records only when needed to fix a problem you've reported.
- Our infrastructure providers (database/hosting) process data on our behalf under their own security and privacy commitments.
Automatic document reading (when enabled)
Footings can read a photographed receipt or invoice and pre-fill the entry for you. When this feature is enabled and you request a read, that one document is transmitted securely to our document-processing provider (Anthropic) for extraction and is not used to train their models under our configuration. The provider may hold the submitted copy briefly under its API data-handling terms before it is deleted from their systems; the lasting record is only ever the one in our Canadian storage, and deleting a document in Footings deletes that stored copy. Documents are never sent for processing unless a user asks for that document to be read; skipping the feature and typing the entry yourself keeps the document entirely in Canada. Document reading is enabled in production; it runs only on documents a user asks to have read, and only for companies whose plan includes it.
Support messages
The support form is processed by Netlify (our hosting provider) and lands in our support inbox. Send only what the problem needs — support messages are kept while the issue is worked and for a reasonable record afterwards, and are readable only by the people running Footings.
Sensitive identifiers
Subcontractor tax identifiers (business numbers, SINs entered for T5018 slips) get extra protection: they are stored separately, shown masked, readable in full only by accounting roles, and every reveal is written to an audit trail.
Your controls
- Export — your books export to Excel at any time. Your data is never held hostage.
- Deletion — ask via the support page and we delete your account and your company's data within 30 days (see that page for details).

Footings is operated by a company incorporated in British Columbia, Canada, which is the organisation accountable for personal information handled by the service. Footings is free during the beta and takes no payment details. The operating company will be named here before any charge is ever made.
